1. Scope and data
This policy explains how ATIR H. PARAL.LEL, S. L. processes information and booking requests for Residencia Port received through Facebook and Instagram instant forms, and the follow-up communications related to them.
We collect name, email, phone number, academic reason for the stay, whether the rate fits your budget, expected move-in timeframe, and the communications held. The form may also supply the date, a request identifier, and references to the originating ad. Required fields are necessary to send the request through this channel. We do not request banking details or especially sensitive information in this form.
If you are enquiring on behalf of someone else, provide your own contact details and avoid sending personal data of third parties that is not necessary.
2. Purposes and legal bases
We use the data to handle your request, check whether it fits, inform you of availability, prices and conditions, and follow up on the booking process you requested. We may contact you by phone, email or WhatsApp; you can tell us your preferred channel.
Enquiries about a possible booking of your own are processed on the basis of pre-contractual measures requested by you, Article 6.1.b GDPR. General enquiries, or enquiries made by someone on behalf of a future resident, are handled on the basis of the legitimate interest in responding to the communication they initiated, Article 6.1.f. You can object to this latter processing.
Sending the request does not subscribe you to newsletters or authorise advertising unrelated to it. Any other use would require the corresponding information and, where applicable, authorisation.
3. Classification of requests
The form routes to a closing screen any answers indicating a non-academic stay or that the minimum rate does not fit, without sending the contact request on to Residencia Port. Other answers allow the request to continue. The expected move-in date helps prioritise follow-up.
This filter is not a final decision on a booking. You can ask a person to review your situation by writing to residenciaport.barcelona@gmail.com. Interactions on the Meta platform are also subject to its own privacy policy.
4. Access and providers
Only authorised ATIR/Residencia Port staff handle requests internally. We do not sell contacts or hand them to other companies for their own commercial acquisition purposes.
We use technology services from Meta, Google — Gmail and Google Sheets — and WhatsApp when that channel is used. These providers may process data to deliver their services; their role and their own processing depend on the service and its terms. This technical access is separate from the access of the staff who handle the request. Data may be disclosed to authorities where there is a legal obligation to do so.
Provider information: https://www.facebook.com/privacy/policy/ ; https://policies.google.com/privacy?hl=en ; https://www.whatsapp.com/legal/privacy-policy-eea .
5. International processing
The platforms mentioned above may process data outside the European Economic Area. The safeguards that apply depend on the provider and service and may include European Commission adequacy decisions or standard contractual clauses. The linked policies explain each provider's mechanisms. You can request further information about the applicable safeguards and how to obtain a copy of them at residenciaport.barcelona@gmail.com.
6. Retention
Enquiries that do not result in a booking will be kept for a maximum of 12 months from the last contact and then deleted, except where data must be retained (blocked) to comply with legal obligations or to address liabilities during the applicable periods.
If a booking is made, the necessary data will be managed for the contractual relationship and its legal obligations, with the information corresponding to that process. You can request the deletion of your data, or that we close the enquiry, before that.
7. Your rights
You can request access, rectification, erasure, objection, restriction and, where applicable, portability. Where processing is based on consent, you can withdraw it without affecting the lawfulness of processing before the withdrawal.
Write to residenciaport.barcelona@gmail.com or to the controller's address stating your request. We will only ask for additional information to verify your identity when necessary. The general response period is one month; we will inform you if a legal extension applies.
You can lodge a complaint with the Spanish Data Protection Agency (AEPD): https://www.aepd.es/ .
8. Browsing and changes
This policy covers the collection of requests and their follow-up. It does not replace the information about cookies and measurement on the website, nor does it change your preferences. Reading this policy does not amount to accepting advertising cookies.
We may update it to reflect changes to the service or processing. An update does not by itself authorise incompatible uses of data already collected. The date is shown at the top.
